Working with Multiple Locums Agencies? Use Google Calendar to Keep Organized.

If you work with multiple locums agencies, one of the easiest ways to keep your schedule organized and synced with your recruiter is to set up an online calendar such as a ‘Google Calendar’ and share with them. Google Calendar also provides an easy way to view your work schedule and integrate with your personal life, keep other people (such as a significant other) informed as well as give you access to your schedule from virtually anywhere.

If I am working with a surgeon who has work in several locations, the easiest way for me to be able to look at his/her avail is by viewing a Google Calendar. On my end, I can view the calendars of multiple surgeons with ease and get an idea of their open dates, their booked dates, and their outside commitments. When a new job comes up, I can easily view a doctors schedule and if they are booked out or have a commitment, I don’t need to bother the surgeon and ask them about the job. This is an easy way to make sure that you have your assignments booked without having conflicting dates. Google Calendar is also a great way to set important reminders as it pertains to licenses and hospital privileging timelines.

The Google Calendar can be accessed on any smartphone, tablet or computer, and access to the calendar can be shared with other people with ease. This makes it extremely convenient to view when you are on the go, and easy to add your booked assignments to as they are confirmed. Many of my surgeons have a significant other that helps to manage their schedule or their commitments and Google Calendar is a useful tool to keep track of personal commitments like dentist/health appointments, vacations, weddings and other activities.

To use Google Calendar, you’ll need to set up a Google or Gmail account (if you don’t already have one). Using Google Calendar can also sync with some of your other favorite Google products such as Gmail, an example would be you can view your schedule and automatically add events from Gmail.

To Share Google Calendar:

  • Calendar: Under My Calendars, go to your calendar and click More options more_vert > Settings. Go to Access permissions and choose your sharing options. If you want to send a shareable link to your calendar, at the bottom, click Get shareable link > Copy Link. If you want to share your calendar with a specific person, go to Share with specific people and click Add people.
  • Classic Calendar: In the sidebar, next to the calendar you want to share, click the Down arrow arrow_drop_down > Share this Calendar.

The key to making this work effectively is keeping it updated every time you add a new event or assignment and making sure it stays updated. Below is a screenshot of one of my doctors schedules, viewed from my computer:
